Authentick's Terms & Conditions

Authentick acts as a booking agent for the service providers such as hotels, airlines and tour operators. Authentick designs and market travel packages that consists of the various products and services of the service providers, and as such, booking their services and products will form a direct contract between you and the relevant service provider, and will be subject to that service provider’s standard terms and conditions. By making a reservation through Authentick, you enter into a direct, legally binding, contractual relationship with the service provider. This contract shall constitute the sole contract between the service provider and you and any right of recourse that you may have. It is your responsibility to familiarise yourself with such terms and conditions.

Intellectual Property Right

All the content on this site, including text, graphics, logos, images, icons, designs, videos, colours, layout and trademarks are the intellectual property of Authentick and its associates/ partners/ service providers and are as such protected by Intellectual Property Law.

Disclaimer of Warranties and Limitation of Liability

Although Authentick endeavours to provide accurate, up-to-date and truthful information on this site, neither Authentick nor any of its employees, agents and associates make any representations or give any warranties, whether expressly, tacitly or implied, as to the operation of the site, the information, content, materials and products included and available from this site. You expressly agree that your use of this website is at your own sole risk. Authentick reserves the right to make changes to this site and this agreement at any time without notice. Authentick reserves the right to adjust package prices in accordance with increases as well as any seasonal adjustments and currency fluctuations.

Authentick, its employees, agents and associates will not be liable for any damage of whatsoever nature arising or resulting from the use of or inability to use this site or the information contained hereon, including but not limited to direct, indirect, incidental, punitive and consequential damage.

The service providers providing travel or other services on this website are independent contractors and not agents or employees of Authentick. Authentick shall not be held liable for the acts, errors, omissions, representations, warranties, breaches or negligence of any such provider or for any personal injuries, death, property damage, or other damages or expenses resulting there from. Authentick has no liability and will make no refund in the event of any delay, cancellation, overbooking, strike, force majeure or other causes beyond its direct control, and they have no responsibility for any additional expense, omissions, delays, re-routing or acts of any government or authority.

By marketing travel to South African and international destinations, Authentick does not represent or warrant that travel to such destinations is advisable, suitable or without risk, and is not liable for damages or losses that may result from travel to such destinations.


Authentick will keep all personal information strictly confidential and no personal information will be made available to unauthorised third parties, unless obliged to do so by law or legal process. Authentick and our third party providers of travel and travel related products and services may disclose your personal information to others directly connected with facilitating your travel arrangements and bookings and the provision of travel service and products. For example, Authentick or any of our service providers may disclose your personal information to airlines, hotels, car rental companies and other service providers in facilitating your travel arrangements.

When you provide us with any personal information including your name, e-mail address, credit card details, etc, Authentick will use a secure server to encrypt such information before it is received by us. Once we receive it, we will protect such information from unauthorised access and use. Authentick may send e-mail newsletters to our customers with news and special offers and users may, by return mail, indicate whether they would prefer not to receive any such mail in future.

Editorial Control

This website contains content provided by third parties and hyperlinks to other sites. Authentick does not screen or filter such content or the other sites or information available from the other sites, and therefore does not accept any liability for defamatory, illegal or criminal content contained on those sites.

Applicable Law

This site is created, maintained and controlled in the Republic of South Africa and as such, the laws of the Republic of South Africa and the jurisdiction of the South African Court govern this agreement and the use or inability to use this site.

Booking Terms and Conditions

On confirmation of the booking, please complete and sign the booking form. A non-refundable deposit of 30% of the total package price is payable within 48 hours of confirmation of the reservation in addition to the total cost of air tickets, airport taxes and fuel levies by the due date stipulated by the airline booked. The balance owing on the invoice must be paid 8 weeks (60 days) prior to departure or, alternatively, as per the date stated on the confirmation. Bookings made within 8 weeks (60 days) prior to departure are subject to full prepayment at the time of confirming the reservation.

Authentick reserves the right to cancel any reservation for which the total package price has not been paid by due date, in which event the deposit will be forfeited to Authentick. Authentick guarantees the price of land arrangements once full payment is received, except where subsequent increases are beyond the control of the company.

Airfares, airport taxes and fuel surcharges are subject to the prices, ticket time limits and conditions quoted by the airlines and cannot be guaranteed by Authentick.

Authentick is an intermediary and acts on behalf of its principals and cannot be held liable for any increases, cancellations or changes effected by these principals. These principals have their own terms and conditions which will apply to the client and such conditions will prevail.

Please note that should you have been quoted in foreign currency and wish to settle payment by means of a credit card, your quotation will be converted to South African Rand prior to the transaction being processed due to foreign exchange regulations by the South African Reserve Bank. The rate of exchange on the day that the transaction is processed will be used to determine the equivalent Rand amount with any resulting foreign exchange differences or bank charges being for the client’s account. The South African Reserve Bank prohibits South African companies from taking foreign credit card payments and keeping the payment in foreign currency. The payment has to be converted to South African Rand before it is credited to the recipient. Clients are welcome to settle payment by means of a bank transfer – in this instance the amount will be converted by your bankers on presentation of our invoice. It is the client’s responsibility to inform and instruct their bankers that the net invoice amount must equal the funds clearing into Authentick’s bank account and that ALL bank charges are for the client’s account.

Cancellation Policy

  • Cancellation prior to 8 weeks of travel – Full 30% deposit is forfeited
  • Cancellation 8 – 4 weeks prior to travel – 50% of total cost is forfeited
  • Cancellation less than 4 weeks prior to travel – 100% of total cost is forfeited

Cancellation fees for travel during peak periods, being Christmas, New Year and Easter but not limited to these periods only, will be more stringent.

Air arrangements: cancellation fees apply once air tickets are issued. The cancellation fees vary dependent on the air ticket issued. Many airline offers are accompanied with strict terms and conditions. Airlines are non-negotiable post ticket issuance.

Travel Insurance

Authentick strongly advises you to take out adequate insurance cover such as cancellation due to illness, curtailment, injury or accident, personal accident and personal liability, loss of or damage to baggage and default at time of booking. Authentick will not be responsible or liable if you fail to take adequate insurance cover or at all.


Please note that in the event of flights being booked and secured by Authentick on behalf of the client, payment is required by credit card because of the time delay of securing funds to us when paying by bank transfer. In addition to this, when booking flights with Authentick, we require a copy of all passengers’ passports. Airlines require the full names of passengers as printed on the passports and will not accept changes once tickets are issued. It is a security procedure which will ensure there are no discrepancies. Authentick accepts no responsibility for incorrect passport numbers or incorrect spelling of full names. Please ensure that you provide accurate information to your Authentick Consultant.


Once hotel reservations have been confirmed, Authentick reserves the right to substitute hotels with others of a similar or higher category at no additional cost to the client. Hotels reserve the right to close restaurants and facilities due to operational reasons and seasonality without prior notice. All facilities and amenities are subject to change at any hotel without prior notice. Certain sports, activities and facilities mentioned are at an additional charge.

Not included in package prices

Package prices quoted do not include airport taxes and fuel surcharges but these costs are listed separately. Any additional surcharges levied by the airlines, costs of obtaining visas, re-entry permits and passports, telephone calls, laundry, park entry fees where applicable, entertainment arrangements not shown in the brochure, meals, beverages and excursions unless specified, or any other item of a personal nature are not included in the package. Package inclusions are strictly as per the final confirmation and it is the client’s duty to familiarize themselves with such confirmation before departure.

Method of payment

The Company will accept payment for all arrangements in cash, electronic funds transfer (EFT) or credit card. For payment by credit card the Company offers an online credit card payment facility to Visa, MasterCard and Diners credit card holders via a 3D secured site. Certain international cards are not compatible with this site. For other credit cards the Company requires an original signed credit card charge form (CCCF), a copy of the back and front of the credit card as well as a copy of the card holder’s identity document or passport.

Passports and Children

Please note that anyone traveling to Southern Africa must have two consecutive blank pages in their passport which lie side by side when the passport is open (i.e. a left and a right hand page). Passengers traveling to Southern Africa with passports which do not comply with these requirements, will either be stopped from boarding the aircraft or risk deportation on arrival in Southern Africa. In addition, a parent traveling with children, without the other parent, will need a letter of consent from the absent parent. The letter of consent must be certified by the police.

Amendment and administration fees

Amendments to confirmed land reservations will be processed at a fee of R150 (including vat) per person for each alteration made to the booking after the initial reservation is made. If notice of amendments is received within eight weeks of departure, cancellation fees as per our Cancellation Policy may be levied. Administration charges will be levied on all documentation/vouchers submitted for re-issue or refund. Changes to air tickets, once they have been issued, constitute an amendment fee if the airline permits such a condition together with an administration fee. Guaranteed departures and most discounted airfares may not be amended once payment is received.

Refunds and unused services

No refunds will be made for no-shows (clients who have booked and paid for services for a specific date and do not show or amend within 24 hours of departure date), or any unused services irrespective of whether they form part of the basic inclusive package price, or whether they are in respect of pre-booked optional arrangements.


Authentick does not hold itself responsible for any delays prior to departure nor during travel to any hotel/resort mentioned in this website whether brought about by technical difficulties, strikes, political unrest, weather conditions, airline schedule or time changes, re-scheduling or any other circumstances whatsoever, whether foreseen or unforeseen.

Itinerary alterations

Authentick reserves the right to cancel the client’s travel arrangements prior to departure, in which event the entire package price paid by the client will be refunded without prejudice and any further obligation on the part of Authentick. While every effort is made to keep to all itineraries, Authentick reserves the right to make any changes for the client’s convenience. The duration of the travel package may have to be extended or curtailed owing to unforeseen changes in transport schedules. Any resultant expense will be borne by the client, and any saving refunded.


Documents (vouchers, itineraries, etc.) are only prepared on receipt of full payment of the package price, and signed & completed Booking Form, and will be ready 24 hours after payment has been received. The Authentick consultant will arrange collection of documents by the client. Any courier costs in respect thereof will be for the client’s own account. It is important that clients check all details of their travel documents (including itinerary) before leaving. If there are any inaccuracies on any travel documents, or should you have any further queries, you should contact your Authentick consultant immediately. Authentick will not be liable for any delay and/or loss occasioned as a result of any inaccuracies on any travel documents once clients are in receipt thereof.

Airline information

Baggage allowance is stated on each airline ticket and further information may be found on each airline’s website. Clients are reminded that they are responsible for reconfirmation of flights more than 72 hours prior to departure and to ensure that the airline has had no schedule or time changes. Failure to do so may result in the cancellation of a flight reservation by the airline. Air ticket itineraries consisting of more than one flight sector may not be used out of sequence or to “skip” one flight sector as this will void the entire balance of the journey/itinerary.

Airline overbookings

Authentick is not responsible for overbooking by airlines resulting in clients being denied boarding. It is the airline’s responsibility to re-route clients on alternative routes at the airline’s expense provided clients check in on time. Transportation by road Clients need to advise Authentick in writing should upgraded transfers be required due to additional baggage or sporting equipment being transported. Upgraded transfers will be at an additional cost to the client. Standard transfers cannot accommodate infant/baby or booster seats. If these seats are required, the request must be made in writing and private transfers will be booked at additional costs to the client. Luggage Each service provider permits different baggage and sporting allowances. It is the client’s responsibility to ensure that their baggage and sporting allowance falls into the provider’s acceptance policy. Authentick will not be responsible for any additional costs incurred if these requirements are not met.

Car hire

If clients intend to drive a rental car, a valid International Driver’s Licence might be required. Clients are responsible to ensure that they obtain and adhere to all the necessary requirements per country. The car hire terms and conditions shall constitute the sole contract between the car hire company and the client.

General information

Authentick cannot be held responsible for any charges that appear on a client’s credit card, nor accept responsibility for having any of these charges reversed or corrected upon the client’s return.

Travel declarations

Authentick requires that all foreign payments that are made on behalf of the client must be deducted from the client’s foreign exchange allowance. A currency declaration to this effect must be lodged before final documentation can be released.

Force Majeure

Except where otherwise expressly stated in these booking conditions, Authentick regrets we cannot accept liability or pay any compensation where the performance or prompt performance of our contractual obligations is prevented or affected, or clients otherwise suffer any damage or loss, as a result of “force majeure”. In these booking conditions, “force majeure” means any event which we or the supplier of the service(s) in question could not, even with all due care, foresee or avoid. Such events may include war or threat of war, riot, civil strife, terrorist activity or actual threatened terrorist activity, industrial dispute, natural or nuclear disaster, adverse weather conditions, fire and all similar events outside our control.
